The Challenge

When Dr. Kaczorowski joined Daemen University, field experience management was not centralized.
Fieldwork had been coordinated through paper-based processes and managed by a part-time staff member. When that structure changed, information became difficult to track and maintain across documents and files.
At the same time, the program was preparing for its next accreditation report.
Without a centralized system, answering key questions about placements, hours, and candidate progress required pulling information from multiple sources and verifying its accuracy.
“I felt like I was constantly chasing things down.” Dr. Kaczorowski said.
The program needed a more structured way to manage field experiences across campuses and pathways, with better visibility into data and processes.

Administrative coordination has been significantly reduced.
Work that previously required tracking down documents and verifying information across sources is now handled within a shared system.
The program also eliminated the need for a part-time role previously dedicated to managing fieldwork documentation, reflecting a shift away from manual coordination toward a more scalable way of working.
We’ve actually not had the need to replace that position… now we can collaboratively manage that… because it’s all in one place, and we can do it from anywhere.
