On-Demand Webinar
Leveraging CORE by PeopleGrove: Streamlining Field Placements & Simplifying CAEP Accreditation
Broadcast on March 26, 2026
Good afternoon, everyone. We're gonna give it just a few more minutes to let more individuals into the webinar, but we'll get started in just a moment. While you're waiting, I wanna introduce myself. My name is Jeanette Brown. I am the VP of membership strategy here at AACTE. Some housekeeping items for today. This webinar is being recorded and will be sent out to everyone. So if you miss a part or you want to go back to it, you will have the recording. At this time, I would like to thank Peoplegrove for sponsoring today's webinar. Their support in sponsoring an educational session such as this shows that they have the intention to bring us together to continue to have meaningful connections and learning opportunities. So at this time, I would like to kick it off and hand it over to Alexis so we can get started with the webinar. Thank Jeanette. Thank you to everyone at AACTE for allowing us to partner and present to you today. We're very excited to be showing you a little bit about how Core by People Grove can help to streamline field placement and cape accreditation. I'm joined today by my friend and our client, doctor Nancy Dijonette. Nancy, if you don't mind, I'm going to have you introduce yourself. Sure. Hello, everybody. I'm Nancy Descharnett, and I am the director of accreditation and assessment at Liberty University School of Education. I have been in higher ed now for eighteen years and involved in all different levels of accreditation in that time. More from Nancy in a little bit in Liberty's story. For those of you that I am meeting for the first time today, my name is Alexis Carboni. I am a senior vice president at Peoplegrove. I've been with Nucor by Peoplegrove for fifteen years now, assisting programs with, you know, looking into our solutions with implementing them. I've done a little bit of everything during my time here. So at the end, we will have a q and a section, and Nancy and I will be happy to answer any questions that any of you have. So let's get started. Just to lay out today's session objectives, we're going to be focusing on the clinical experience and designing a system to help support all of the different workflows associated with field placement, assessment, and accreditation across educator preparation programs. We are going to talk or touch upon integration, you know, as a design principle, and how connecting workflows throughout the curriculum are going to help with scalability, reducing fragmentation, and really enhancing your ability to collect data and act on data immediately. We're going to discuss operational efficiency and sustainability so that you're able to consider how streamlined workflows for placement and an evaluation will reduce administrative burden for your team while maintaining and improving compliance and program quality. And then we're also going to touch on accreditation and helping to streamline that process as a byproduct of being able to streamline, you know, all of your workflows related to field placements, assessment, and accreditation. Before we talk about Liberty's story and how they have implemented and are using CORE, I want to give you a little bit of background on CORE by Peoplegrove. We're going to give you a very brief demonstration. Know that after today's webinar, we'll be happy to meet with each of you one on one to give you a personalized in-depth demonstration. But in order for Nancy and Liberty's story to make sense, we did want to give you a little bit of background on who we are, what we do, what our product looks like. So that's where we're going to start in the webinar today. So CORE by Peoplegrove actually has five different solutions within our product suite. But today, we're going to be talking about two of them. You'll hear them by name, CORE ELMS and CORE Comp MS. They are, of course, integrated. So to your end users, it looks and feels like one, you know, solution. They have one login. For any administrators, that should only have access to one or the other. Or, you know, for your host educators or supervising teachers, they probably only have access to core ELMS. So for purposes of accessibility, you know, each user, you can determine what they're accessing, but it all integrates so that you're able to pull data across, you know, the full solution. Now core ELMS is really the field experience or clinical side of VICS. This is a solution where your program is able to manage and improve any workflow related to field placements and clinical experiences. That includes everything from your student's application, if they are applying for a specific site, the ability to collect their time sheets, any assignments, evaluations. And like I said, we're actually going to look at this. You know, we're going to do a quick demo. But know when you hear CORE ELMS, anything related to field placements or clinicals can be managed within core ELMS. Then you might hear, you know, Nancy reference core CompMS. Know that CompMS is really the assessment management solution. So this is where your curriculum map would live, being able to identify all of your programmatic and institutional outcomes, where they're being taught throughout the curriculum, how they're being taught, how they tie back to your accreditation standards. This is a solution we can integrate typically with your LMS to be able to collect assessment data and map it back to an outcome level. It, of course, pulls assessment data from core ELMS. But you can think of it as a nice comprehensive assessment solution so you can see longitudinally over time how students are performing on programmatic and institutional outcomes, how they're improving on those outcomes. In real time, you can see, you know, is there a certain outcome a particular student or cohort is struggling with that maybe we need to introduce earlier into the curriculum or throughout the curriculum? So a lot of great reporting tools there. And then, of course, it helps to manage your accreditation process as well with one click reports, and we're going to talk about that in more depth in a moment. We do integrate with Banner, your student information system, like I mentioned, your LMS to be able to collect assessment data on any key assignments or assessments throughout the curriculum. And then, you know, we also do integrate with the NCS database to pull in candidate data, school demographics in real time. I'm going to show you a quick highlight of the student side of that. But like I said, happy to show everyone a more depth and demonstration where we'll get into that, one on one. So some key benefits, from implementing CORE. It allows for you to have a centralized location to be able to manage and oversee anything related to field experience. You have real time visibility. It takes it replaces any manual processes. You're not having to you have a bunch of spreadsheets. We have real time alerts and communication for all parties. So, of course, anyone who has a role in your clinicals or field experience would have their own type of access and their own communication and alerts from the system. That all happens in real time. But then, of course, you as a program have the ability to communicate and send your own messages through the system as well. That's going to, you know, help improve the, overall user experience, you know, for students and, you know, for your host educators or supervising teachers and then, you know, for your own staff as well. Assessments and evaluations are captured in real time. And, again, we have automated workflows and reminders as evaluations become due on your end if you need low score alerts, things like that can all be automated and and in real time. And then, of course, you have the ability to access all of the data. We have a full reporting suite. We have many integration opportunities. So if you needed evaluation data to flow back to your LMS, for example, that can be set up through our many API integrations as well. And, you know, all of this happening in real time, so you're not having to wait to dig into data. You have that data in real time at your fingerpit fingertips to make it easy to monitor and take action immediately, you know, rather than having to wait until the end of the year. Here are some examples of some reports that you can see. Again, happy to show you more on a one on one demonstration, but you can see some of the visibility you would have here on student performance. This is showing, you know, as kind of just a quick snapshot or highlight by course, you know, how students are performing on their outcomes. But we do have a full reporting suite. Okay. And now if you just give me one second, I'm going to switch my screens. So you should all see now CORE ELMS. I'm already logged in as a student. So keep in mind, all of you would be set up as an administrator. You would have your own account and access and workflows. Each of the roles within field experience or clinical would have their own type of access. For purposes of today and because we only have a couple of minutes to walk through a demonstration, I'm going to stay in the student account. If we are to set up that one on one demonstration, we'll actually walk you through, you know, each role and what it looks like. But I'm logged in right now as a student, Jasmine Andrews. You can see the navigation toolbar on the left hand side. Makes it easy for them to figure out where to click. This would be your logo and, of course, your color scheme to match your logo, your branding. All of that is customizable. This would be the welcome page for your students. Again, this is just an example for demonstration purposes, but whatever you'd like students to see, whether that is, you know, instructions, you know, their requirements. And then on the right hand side here, we see because they are out on internship practicum student teaching, you know, today, we see just a quick dashboard of those experiences. So you can see the requirements and progress, how many hours they've completed for this particular practicum. Activity zero percent complete. Looks like there are four key activities they need to complete and haven't even started them yet. Students typically their first step is actually getting them placed or matched, with the school or site that they are going to be doing student teaching or practicum or clinicals at. Keep in mind, this application form can be customized. This is just a basic example where we're asking, you know, the address, the ID of the student, email. You can have a database with your own sites if you allow, you know, students to work from that list, or, you know, they can actually search from the data bay database by state, by school type, by grade, and they can actually find some suggestions. So this is part of that application workflow or process where students are submitting their choices or, you know, letting your team know of the sites that they're interested in. And then on your end, you have a workflow to actually review and approve or deny that application. So, no, this is one option when it comes to scheduling or placing students. We do have a full scheduling suite or group of tools to be able to actually match students that include your team being able to manually schedule. We have a smart match algorithm if you ever allow students to rank their top choices and then you want the algorithm to place them. So, no, it is very configurable or customizable, and we work with you and your team to determine, you know, what is your scheduling or placement process, How are you looking to improve that? And how can we streamline it in the system? So just an example there. Once students are actually placed, they are going to have access to, you know, what we're calling in this account their rotation schedule. You'll know that term is customizable as well. But we can see they're in practicum. They see the host educator and site. Again, this terminology is customizable as well. They also have an admin coordinator or co host educators, and they can see each person here. Once they're going out on practicum or on clinical, they might be doing things like submitting hours. They might have some credentialing requirements. So in this example, there's a prep exam, their fingerprint, TB tests, liability insurance. You know, whatever students are having to complete, they're able to add that. Easy to do from their smartphone. They can actually just take a picture and, you know, add their fingerprint card. Or, you know, if there is an actual documentation that goes along with it, they're able to they can click add, completion date, expiration date, any comments, status it as in progress or complete. If you do work with a third party vendor to complete, you know, some of these requirements for your students, keep in mind that we might be able to integrate with that partner. So something, again, we can talk about one on one. A couple of other items I'll show you here. So they might have some assignments. In this example, we're asking students to submit their lesson plans, evidence of reading. We have a new HIPAA compliant video feature that allows, if you're asking students to record, the lessons that they're teaching, They're able to do that through the video functionality, which makes it nice and simple. They might be submitting hours, and this is a pretty basic example where we're just asking for the start date, end date, time in, time out. Keep in mind, this can be as detailed as you're needing it to be. We have a breakdown by direct hours, indirect hours, but however you're having to break those down, students submit it. Whoever is responsible for, confirming that information receives an automated email with a link to simply click to approve or deny. So nice and simple. And then the last thing I'm going to show you today again, we could spend two hours showing you all of what's included in core ELMS, but it is our new feature for student binders. So this is the area that aggregates all of that data for your students. So the student can see based on the experience type, you can filter it that way or course, their total hours that they've completed, their assignments, and they can click in to view those actual assignments or observations, their credentialing requirements, evaluations, surveys, or forms. They're able to download this binder if it's something that they need to maintain or share. It makes it easy for them to do that. So pretty simple for students to use and then, you know, save as well. So I know that was quick and brief. We we wanted to give you a quick highlight. And like I said, there'll be a q and a at the end. Happy to answer any product questions at that point, but give me one second. I'm actually going to pull our presentation back up. And I just wanted to highlight the fact that teacher prep is an era that our team is very focused on. If you were to see our full product road map, you would see much of the functionality, the new features that are being released really do focus on supporting teacher prep programs. So some of those features that I quickly highlighted today, we are enhancing the field encounters video functionality, which makes it easy to capture any evidence of what the teacher candidates or students are doing to become practice ready for the fields. It allows for transcripts, for comments to be added, so a lot of great functionality there. We are improving those binders that I showed at the end, so that is going to be cross system. This is going to help because it will allow for any assignment throughout the curriculum to be highlighted. So like I mentioned, within CompMS, we can integrate with your LMS. If there is a key assignment that needs to be part of the assessment at the outcome level, it can be, and then it can also be included in the student binder. And then I'm sure, you are hearing lots about AI, but know that it is a big focus for our company here at PeopleGrove as well. So we are going to be offering some enhanced AI reporting capabilities that allow explorers to I'm sorry, allow users to explore data more naturally and generate insights and reports in real time based on your specific need at the moment. So we're really excited around, the new reporting functionality that will be released. So I did a lot of talking. Now we're going to have the opportunity to hear from Nancy and, you know, the real world impact of implementing CORE at Liberty University. So before we talk about, you know, actually implementing CORE, I'd love to hear from Nancy on some of the areas that Liberty was looking to improve or optimize and some of the, know, challenges that they were experiencing. So, Nancy, if you don't mind just touching on the different areas you were looking to optimize. Sure. Absolutely. So a few years back, we were looking at finding a compatible software program that would really help us with reporting, collecting student data, making placements. Some of the, you know, the frustrations or the the bumps that we were experiencing was, number one, we we placed about two thousand students a semester. So just the large number, the quantity of of making placements both locally and across the state and across the nation as well as internationally. So we we were looking for a system that could really help us seamlessly tie all those together and and keep everything in one place as well as those communications with the schools and the placements, on a regular basis. So that was part of the the challenges that we were seeking. And the other piece of the puzzle, obviously, is accreditation and, you know, being able to keep all of our data in one place. You know, I've worked many years ago in places where you've got, you know, this this data, assessment in this system and another data assessment in another system. And and when we get ready to to put everything together for accreditation, you're grabbing things from all over the place. So to keep everything in one centrally housed, software system was was really valuable for us. And and just also the ease of use for our our students, for our faculty, as well as external partners, those cooperating teachers and and external supervisors, you know, being able to help them have an an transition and have a positive experience working with Liberty University through the the software system that we were using were were all kinds of things that we were were looking at and exploring. I think you're muted. Sorry. Can you hear me now? Yeah. Now we can. I'm not sure why I became muted. I apologize for that. So I know that because I was part of the process, personally, I know that this decision to implement core was not something you and your team took lightly. If you don't mind, before we actually talk about implementation and the outcomes of implementing core, Tell us a little bit about the process of exploring different options, what you were considering, you know, as you looked at different options, and really what drove you to decide to go with us. Sure. I mean, at the time, we were exploring, multiple different vendors, and we've met with each vendor and, you know, we had our list of things that we really, really wanted, to make our experience positive and and useful. And some of the, you know, the questions that we were asking, I would say probably the number one question, was can you do multiple placements within the same semester for a single candidate. Because as you know as well as I do, anytime you have that special ed candidate where they've got two different placements in the semester for for student teaching or you have the PE and health or the music candidates, they often do two different placements, an elementary placement and a high school placement or middle school within the same semester. So that was one of our concerns is, you know, can we make multiple placements for a single candidate? And many of the other vendors says, nope. We can't do that. And Core said, sure. We can do that. So cha ching, you know, immediately our our mind went to, to Core. But some other things that we really checked the boxes for us was that placement system being tied to the NCES database. Because we make placements nationwide and internationally as well, The NCES allows us to connect to school data nationwide. So I can pick an elementary school in Washington State and be able to see the demographics of that school and identify is it a title one school and, you know, what are the the grade levels that they, provide and and all different kinds of the demographic information about that school, at the tip of my fingers. And that really helps for with CAPE as well as reporting, you know, where are our students doing their field placements. I mean, able to kinda generate a report as to where those students are are located and what types of schools that they're doing their, field placements in. Another area that we really wanted was to be able to communicate with those external partners through the system. So, like, when we make a placement in ELMS, we have a letter tied in there that when we make the placement, the cooperating teacher automatically gets an email. And they get instructions. They get a link to go into to just one one tap, and they're in the system. Everything is at their fingertips. They don't have to really worry about, you know, a login. It's all right there. They can go straight into the system, approve hours for candidates, and it just really simplifies the experience for our external partners, which is really important for important to us and it's probably important to you too. You want your school partners as happy as can be, to continue to collaborate with you, and you don't them frustrated or or lost or having to, you know, seek out counsel on how to to fill something out. So, that was a plus for us that, you know, everything is really accessible to both internal and external partners. Thank you. So these sorry. Something you actually shared with us. So we're going to focus on four of them. You've touched on this already, but if you don't mind digging in a little bit deeper on the benefits of operational efficiency, maybe for you and your team. You is there a specific workflow that saves you and your team time? Anything you'd like to address on operational efficiencies? Yeah. What really makes it efficient is being able to we for our eval our student teaching evaluation system, we use a assessment called by put out by Ohio State called the CPASS. And that a student teaching performance evaluation requires collaboration between the supervisor, the cooperating teacher, and the candidate. And we take a, like, a mean score of all three assess assessors. So what we we wanted to be able to do is, you know, to have in core, we complete all all three individuals complete their assessment in core, and then we are able to take the mean from those three different assessments. So things like that, being able to keep everything in one place, making sure that our external partners, have access to those, assessments, to be able to score them right there in the system. There's not a lot of, double time, so to speak. When in a previous system that we used, the can the the professors were, you know, scoring a rubric in Canvas as well as in, the external software system. So they had to do everything twice. Where with Core, everything is integrated. So they only have to score it once, and it will show up both in Canvas and in Core, for us. So that that makes everything efficient as well. Great. So that certainly also touches on real time data. Any other data points seeing a benefit from, you know, having used core for a little while now? Yeah. I mean, as far as the, you know, bringing pulling down the data and being able to look at at data either, like, within during the semester, like, who's completed something, who hasn't, being able to look back to the previous semester, to the previous year. You know, we can choose our date data ranges that we want to pull down as you know, for reporting, and it really makes things, you know, easy to see, to be able to see how our candidates are doing at any point in time, whether it's right now, during the semester, or it's, you know, looking back at semester. Great. Thank you. That's tied back technology information. To touch upon on that final point? You're breaking up a little bit. What did what was your question? Sorry about that. I was saying all of this ties back to technology driven transformation. But anything else you'd like to highlight around that point? Sure. I'll talk a little bit about being able to pull the data down for reporting. You know, as far as cape reporting our our data to Cape, we need to be able to report by by the assessment, obviously. But, also, Cape asked us to report by ethnicity, by program. So being able to integrate our university banner system with CORE, we're able to transfer over to their system, you know, the candidate program candidate's program code, their ethnicity, those data points so that when we pull the data from the core system, I'm getting all of those extra data points as well for the analytics. So then when I go to form my report for CAPE, I'm working on the CAPE annual report right now, I'm able to, you know, desegregate you know, in student teaching, we have all licensure candidates. But I need to be able to separate the CPaaS data by elementary education, by special education, by secondary education. So because those program codes are embedded and and included, I can then easily desegregate the data in order to report it, appropriately for CAPE. Great. Thank you. So before I move into what I think our key takeaways are, Any other closing I don't know that your microphone is working. Sorry, everyone. I'm not sure I'm not sure what's happening. I'm just going to get very close. Sorry. You have to see my face so close-up. I was saying before I get into our key takeaways, is there anything else you'd like to share about your experience in working with CORE by Peoplegrove or, you know, any of the the data that you're getting from it? Sure. One thing I'll say is is the feedback that we've gotten from our partners, from the school based partners and our, adjuncts that are using it, our supervisors. And and the feedback that we've gotten is that CORE is so easy to use. It's like a breath of fresh air, you know, that they don't struggle with it. So, you know, that, of course, is very important to us, that, you know, people outside of our Liberty, you know, residential system can easily access what they need to access and report, communicate, inter interact with, the administration here. So that was always very important to us and that, you know, our partners feel that it's easy to use and understandable. Again, the the cooperating teacher in the school system, they just get an email with a link. They click on it, they're in. So it's, you know, one one click and and so they really appreciate that. Every time the student logs an hour for, you know, logging tracking their hours, it goes directly to the cooperating teacher. They get an email saying, you know, your candidate has logged hours. Please click here to approve or deny. So, again, it's just one click. It's so easy for them to use it. So we've heard heard a lot of positive feedback from the cooperating teachers and the external supervisors as well. Thank you. So that is one of the key takeaways. I hope coming out of today's webinar, you were all able to see that we do offer a user friendly design. UI is very simple for, you know, all parties to be able to figure out their own account. Students really don't even need any training. They kind of just log in and figure things out. For your external partners, much of what they're doing is automated through, you know, email alerts. They really don't even have to log in if they don't want to, but of course they do have their own type of an account if they choose to log in. And then, you know, we also hope that from today's webinar, you will able to see that CORE by Peoplegrove is a very comprehensive system. Something that we didn't touch upon yet was the fact that CORE has many features specific to teachers, educator prep programs and teacher education, but it is a very customizable and comprehensive platform. We do work with other programs like social work, counseling, nursing, PA. So know that we do also offer an institutional, you know, type of access where each program, you know, has their own version of core. But at a high level, if anyone if there's a dean or someone that needs to be able to report across programs, they're able to do that. You've heard us talk a lot about integration today, so we do offer a lot of integration opportunities as well as, you know, access to your data to be exported and integrated. So from here, we're going to be opening things up, you know, for q and a. So if you have any questions, you'll be able to enter them. But first, you're going to see just a quick pop up that will allow for you to tell us how would you like to learn more information about CORE. Would you like to see a personalized demonstration of CORE, you know, for your program? And we'll reach out to schedule that. Would you prefer just to have some general information emailed? Or, you know, are you not ready for an actual demo yet? You'd rather just have a a quick, you know, fifteen minute conversation about some of your current challenges and how CORE might be able to help. So we'll leave that up for a moment. And then from there, we will move into Q and A. So I'll give you about thirty more seconds with the pop up. Okay. I'm I'm going to start with a couple of the questions I see here. But within the meeting toolbar, the Zoom toolbar, you should see the q and a section. If you have questions, you can start to enter those in, and we'll be answering them live. So the first question I see, and Nancy, I think this is probably best for you to answer, but when you mention communication with clinical partners, are we entering the contact information? The contact for each clinical partner we work with is completely different. HR principles are somewhere else entirely. So I will say, you know, on the core side, yes, we're able to import, you know, all of your existing data with contacts for each person, and that is automated. But since Nancy has such a huge program at Liberty and went through this implementation process, I'm going to have her, you know, talk about that, if you don't mind. Sure. So, yes. As you know, multiple people in a district can be involved in that placement. We do, like, preliminary surveys with students, like where is it you wanna go, what school district are you wanting to be in, You know, taking their recommendations and kinda doing the legwork be behind the scenes. In core, when our fields team goes and they assign a specific placement, they're ready to assign Susie to Central Elementary School in Tennessee. They would put in the can the student's name, they would put in the school, and they can within CORE because it's tied to NCES, they can search for the school through the NCES database. And if it's if it's part of the NCES, then it will come up. The the the school address will come up. All of that that data will come up and help us, you know, with that placement. And then from there, they if they've already gotten a specific teacher in that building, they can put in the teacher's name or they can put in the principal's name. And then the the supervisor's is also it's called hand slotting. So all of that, when they go to make this specific placement, then that's where they're putting in the school, the the cooperating teacher, the grade level. For secondary, they're putting in the subject matter, like music, history, social studies, type of thing. And then when they click submit for that hand slotting, for that placement, that's when the letter will go out to whoever was entered for the cooperating teacher, the supervisor, things like that. Great. Thank you. And as part of the implementation process, our team, you know, takes care of getting all of that data imported for you. So I don't want anyone to feel like that's something you're having to do manually. However, you're storing that data now. We'll work with you to collect that data. You send it to us, and we import it into the system. So it's Yeah. Quick and easy on your end. I can vouch for that. When we made the transition, you know, we have all of our rubrics, all of our datasets, and and core implemented all of that into their system for us. So it was a very easy transition. We worked with them. Thank you. The next question I'm going to read. So the communication with clinical partners, it is it is only for placement confirmation, not actually sending requests for placements? That's a great question. I'm glad you asked it. So we do have functionality that allows for you to send requests in advance. Not every program does that, so it is optional. So our scheduling system is very customizable. We work with you to figure out, you know, the workflow that you need, but that is definitely something that we can accommodate. There is not much that we cannot accommodate. We've been doing this for a long time. We have been very open to feedback from clients. We actually had an advisory board earlier in the week where we heard from some of our education programs. So if there are any individualized workflow questions or things you'd like to see, as I mentioned, we'd be happy to do that in a personalized demonstration. It's a little bit difficult to show you everything in a big group setting like this, but yes, that is definitely something that we can do. Next question, is there some place we can see more examples of what exactly the site will look like on our end? By our end, I assume you mean the administrator view. We'd be happy to invite you to some of our future webinars, but also to show you that one on one in a live demo. If you'd prefer to see some examples from by email, you know, we can certainly send you some screenshots to help, but I think the best way to show that is on a one on one demo. We can do an introductory demo in about forty five minutes. We can spend an hour if you do have more time, but yeah, just reach out or you know, share your information with us since that was an anonymous question, and we'll be happy to show you. Next question. We are using Canvas as our LMS, and we understand that it will integrate with your systems. Can you please clarify if internal assessments live in Canvas or in CompMS? Either. So it depends on your process. We can actually accommodate it either way. So some programs like to have what we call native assessments built into CompMS at the outcome level, which are different than the assessments that are being completed in Canvas. So if that was your goal, know, we can accommodate the ability to have internal or native assessments live in CompMS. But on the flip side, if you have assessments that are already being completed in Canvas, we don't want your team to have to duplicate work. So through integration, we can collect that assessment data and tie it back to the outcome in CompMS through the integration. So, you know, to answer that question, it depends, but we can accommodate, you know, either option or both options. And I was gonna say at Liberty, we have large majority of our assessments. The the candidate reaches core through Canvas. Everything is done through Canvas. So for the student, it's very easy as well because they just click on their assignments as normal. And then where they go to upload their assignment, there might be a core link that would take them directly to core and where they would submit or upload their their work there. So it we have a seamless, integration with between core and our Canvas LMS. So they work together. Okay. Thank you. The next question. So when implementing, we would send rubrics to core and not have to build them ourselves. Is that correct? That is correct. But I also like to mention some other solutions force you to send any changes, you know, back to your CSM. It is something as a primary administrator, you can also edit rubrics or create rubrics if you would like to. Some people are so comfortable in the system. Let's say there's a a change to a question, they prefer to just duplicate the rubric and then edit that one question themselves rather than sending it to us. But if you are someone who would prefer that your client success manager helps, you can. You'd send that new rubric over, you know, to your team, and we'd be able to make those updates for you. Great question. And that's one thing that we've really appreciated about CORE is having that success manager. We have one person at CORE that we work with. We meet with him regularly, weekly. It was weekly, and now it's every other week since we're more veterans now. But for the first two years, we worked weekly with this one individual at CORE, and and everything that we needed went through him. And so it's really nice to have that one touch point. But, also, CORE uploaded all of our rubrics for us. And then since then, we have one staff member who is assigned to manage CORE. So if we have a a rubric that needs a revision or an adjustment, she's able to go in and and make the revision herself and relaunch it and things like that. So she works very closely with our core person to to make sure everything is on track and up to date. And then as a follow-up question, we were asked, is all of that included in the quoted price? And it is. Your client success manager implementation, we are not charging extra for that. If you would like a higher level of support so that we are actually able to work one on one with your students, That is the only time there is an additional, you know, cost associated, but we'd be happy to provide those details. So our standard support is we train, you know, the trainers. We support administrators. All of that is included at no additional charge. And for Liberty, that was that was a sticking you know, a key piece of the puzzle for us because we have so many students. We felt like we cannot handle the the student questions. We wanted core, you know, any questions that the students had about core, we wanted them to be able to reach out to core and have support from core. So we actually pay a a minimal fee extra for the students. They have a direct link to CORE when they have questions or struggles. So they can go directly to CORE rather than having to come to us to to mitigate any issues that they're having. Another follow-up question, if you don't mind, and I think it's for you. What has the response time been from CORE when you need something adjusted or updated or have a technical issue? I think they have a and you can correct me if I'm wrong. I think it's twenty four to thirty six hours of response time Response time. Yes. That they respond, and we have never had an issue with things being left undone. Thank you. The next question is not related to client support, but it is about server access to data. So does the platform reside on the college university servers, or does it reside on Peoplegrove's cloud server? So it would be our servers. Within our agreement, you will see you own all of your data. So we don't own your data in any way. You can always export your data either manually or through our APIs. So we do not hold any of your data hostage in any way. You own it. You can access it at any point. It is stored on our servers, which are backed up nightly. And, of course, we are meeting all of the standard security requirements, and we'd be happy to work with your IT and security team, you know, to answer any questions they might have. That was the blessing as we implemented with Liberty as well as, you know, the school of ed. We basically said we need x, y, and z. And then our I university IT team worked with the core IT team to, you know, take care of it all, to align it all, to integrate it. So they did all of that work on the backside for us. We were also asked about FERPA requirements. Yes. You know, we certainly meet FERPA requirements. I mentioned, you know, HIPAA with those videos. So, you know, certainly, any security requirements your program and university have, I'm confident we will meet, and we're happy to answer any questions your team might have. Okay. At this point, I see one last question, and it's for Nancy. The question is, why did your former solution not work for your program anymore? Maybe what were the challenges you were experiencing? Well, the the former system that we were using pretty much expired. It was LiveText, and they had basically, they had transitioned to a new platform, and they were letting go of pretty much all the functionalities of LiveText. So we had we were kinda forced to do something, and that's where we started looking at different options. So, it was it just expired, and they did away with it. Thank you. And thank you for choosing CORE and being such a great partner to us. We really love working with you and your team. Know for any other programs that are going through a similar situation where your current solution is being sunset. You know, we'd be happy to show you how CORE compares so you can see if it is an option for your program. I also like to mention that we do have some flexibility when it comes to contract start dates so that you don't have to worry about overlap or finding the budget to pay for, you know, two solutions for a full year. So, if you have questions around that, please reach out, set up a time. We'd be happy to show you the options that we can offer you and your program. Those were great questions. Thank you all so much for being so interactive. It really makes a big difference on these webinars when we get great questions. So I appreciate that. If there aren't any other questions, I'm actually going to turn things back to Jeanette. Thank you, Alexis, and thank you, Nancy, for joining us today. Today was a great webinar. So as we wrap this up today, I just wanted to share a few upcoming events for AACTE. As you can see, our Washington Week is coming back this year. It will be happening early June, and registration is open. We do encourage you to attend and also bring your students with you. This is an extraordinary event where we have sessions, and then we end the event with going on the hill to visit our representatives. And so if you wanna have impact with educator prep programming, this is the day and the week, actually, to attend to see real impact, and use your voice on the hill where it's very much needed this year. And then later in June, we will be doing our yearly leadership academy and new dean's academy. Registration is not open just yet, but it will be soon. So once again, thank you everyone for joining us today, and I hope to see you at a future NACTE event.
AACTE 2026 Featured Session, Now Available as an On-Demand Webinar
This session was originally presented at the AACTE 2026 Annual Meeting and received strong engagement from educator preparation leaders. PeopleGrove sponsored this webinar to bring the session to a broader audience - particularly those who were unable to attend in person.
The reason it resonated is simple. Managing field placements at scale is complex. Add accreditation reporting, assessment alignment, and cross-department coordination, and the complexities multiply.
Hear from Liberty University on how they approached that complexity with an integrated system that connects placements, assessments, and reporting in one environment.
What You Will Learn
In this on-webinar, you will learn how Liberty University:
- Centralized and configured field placement workflows to reflect real-world variability
- Connected candidate performance data to real-time dashboards
- Enhanced CAEP-aligned reporting through accurate, real-time data
- Strengthened alignment between clinical experiences and program outcomes
- Reduced manual processes while improving cross-team coordination
You will leave with a clearer framework for aligning operational efficiency with accreditation readiness and continuous improvement.
